Position Summary
To have responsibility for the monitoring and reporting of progress and associated activities to ensure related materials, supplies, capital equipment and services in accordance with project schedule, procedures, and systems to meet company schedule goals.
To provide support (including translation support) for visitors to workshops when required.
Accountabilities – Job Specific
Meetings/Communication
1. Contribution to providing timely and accurate project reporting.
2. Contribution to weekly reports, minutes of meetings and any other correspondence as required.
3. Contribution to procurement meetings (both, project and department).
4. Assist with maintaining and updating the project procurement registers/schedules to meet organisational, departmental, project and client objectives .
Procurement Support
1. Monitor and report procurement activity progress and program and provide recommended corrective action where required.
2. Assist with the coordination and expediting of vendor deliverables including inspection and auditing where required.
3. Follow-up on technical queries from vendors with the Sedgman engineering team.
4. Assist in establishing project control channels of communication and information flow.
5. Assist with compiling relevant information for client invoicing.
6. Assist with certification of vendor payments to ensure these are processed in accordance with the terms of the contract.
Schedule Management
1. Acting as primary on-site point of contact with vendors regarding progress, achievement of interim milestones
2. Ensure the vendors are aware of documentation and programme requirements
3. Ensure deliveries on a timely basis (contractual delivery dates or construction required on site dates
- as required)
4. Developing and monitoring expediting plans.
5. Creating vendor progress tracking systems and maintaining expediting progress reports.
6. Carry out investigations, inspections, audits, reviews to ensure that the supplier’s workshop crews' output achieves schedule requirements
7. Monitor and report on vendor activities and workshop progress to control variances from schedule dates
8. Ensure deliveries on a timely basis (contractual delivery dates or required on site dates - as required);
9. Identify and assist in implementing productivity improvements
10. Manage relationships and ways of working with key vendors to ensure continuous improvement in the delivery of goods/services that meet business requirements.
Quality Management
1. Participate in the development and continuous improvement of the Quality management process and system and ensure that project and Sedgman quality standards are implemented in the department.
2. Ensure that documentation is completed, filed and auditable (accuracy, minimal rectification required after checking)
Qualifications/Experience
Qualifications:
1. Relevant sub-professional technical qualifications – preferred but not essential.
Essential skills, knowledge and experience:
1. Minimum 3 years’ experience in procurement in manufacturing workshop environment.
2. Excellent communicator with strong consultation and influencing skills.
3. Well-developed analytical, research and evaluation skills including the ability to identify and implement strategies for improved service delivery.
4. Sound planning, organisational and administrative skills with demonstrated effectiveness in developing systems, processes and procedures to prioritise tasks and ensure achievement of goals and meet deadlines.
Desired skills, knowledge and experience:
1. MS Project
2. Commercial / Financial / Technical Understanding.
3. MS excel Advanced user 能熟练使用马蜂盯标进行招标采购类信息查询
